Following TransForm’s COVID 19 guidelines, this is a hybrid office/work from home position, with most staff expected to work from our downtown Oakland office on Mondays, Tuesdays and Wednesdays. However, we remain flexible given the ongoing nature of the pandemic and the changing needs of our staff.
Position Summary
We are seeking a full-time Operations Manager. Reporting to the Executive Director, the Operations Manager manages the daily on-site office operations including the office administration, human resources, employee benefits, information technology, and other facilities and office management functions. The work schedule will require mostly work in our Oakland office with the potential for some hybrid days. This position is well suited for someone with a background in nonprofits, business and/or office management, who prioritizes a collaborative and inclusive approach to their work.
Key Responsibilities
Responsibilities include but are not limited to the following.
Human Resources:
-Onboard and offboard staff
-Assist with benefits administration
-Maintain compliant HR files and e-files
-Maintain confidentiality around sensitive employee data and company information as appropriate
-Assist with labor law inquiries
-Assist with day-to-day general HR support as needed
Administration and Office Management:
-Respond to staff requests as needed
-Assist with general office purchasing and supplies, mail, office space planning and management, meeting room management, general office upkeep and more
-Administration of general public inquiries and redirection as appropriate
-Coordinate and manage other ad hoc projects as needed
-Implement, and maintain operational policies and procedures
-Identify and drive process improvement efforts
-Prepare bimonthly board packet and assist board with administrative needs such as document organization
Finance:
-Assist with the reconciliation of monthly departmental and other credit card activity
-Assist with the processing and tracking of donation payments
IT Support:
-Assist with IT and telephone consultants as needed on site
-Assist and maintain documentation of IT assets: hardware, software, cloud
-Google Administration
Qualifications
-Minimum two (2) years of related professional experience in administration and/or operations management
-Working knowledge of applicable labor laws and HR best practices
-Demonstrated effectiveness in written and verbal communication, strong relationship building skills as well as the ability to influence and assess situations objectively
-Detail oriented with the ability to prioritize independently while also collaborating within a team environment
-Proactive, creative, and flexible
-Strong project management skills
-Accustomed to working in a diverse and equitable environment
Great to Also Have
-Benefits administration experience
-Experience with contract review and COI
-Ability to troubleshoot common computer problems
Compensation & Benefits
While this is intended as a full-time (37.5 hour/week), exempt position, based in our Downtown Oakland office, we will also consider part-time candidates. Full-time annual compensation is $70,000 to $80,000 based on experience and skills. Full-time compensation includes health and dental insurance, generous vacation time, an FSA account, and transit benefits. TransForm also administers a 403(b) retirement plan.
